Privacy Policy

Effective October 11, 2026 · Version 2026-10-11

This policy explains what information AP Copilot AI collects, how we use it, and the choices you have. AP Copilot AI is an online learning platform for accounts payable skills. We aim to collect only what we need to run the service.

Information we collect

Account information

When you create an account we collect your name and email address, along with your password in protected form. If you sign up with a third-party sign-in provider, we receive the basic profile information that provider shares with us. We keep records of when your account was created and when it signs in.

Learning progress and activity

We store the lessons and modules you open, the lessons you complete, quiz attempts and scores, saved favorites, experience points and streaks, and certification exam attempts and results. This is what lets your progress stay with your account when you use a different device or browser.

Company and team information

When a company sets up an account, we store the company name and settings, the list of members and their roles, invitations sent, assigned training and due dates, and training reports generated for managers. If a company uploads its own materials, such as standard operating procedures or other internal documents, we store and process those materials to power the company's training content and AI Coach answers for that company's members.

AI Coach conversations

Questions you ask the AP Coach, and the answers it returns, are kept in your browser's local storage so the conversation can be shown to you again on that device. We do not store your full coach conversations on our servers. When coaching is used within a company account, we keep basic usage records (such as which lessons coaching was used on) to report on that company's training activity. Company-branded coaching draws on the materials that company has uploaded.

Billing information

Subscription and trial status, plan type, seat counts, and billing history are kept by us so we know what access to provide. Payment itself is handled by Stripe, which receives your payment details, billing email, and address as needed to process and secure payments and calculate tax. We do not collect or store full payment card numbers or security codes in our own systems.

Agreement records

When you start a trial, create a company, or subscribe, we record your account, the company (if any), the date and time, and the version of these documents you agreed to, so we can show what was accepted. Only you can view your own records; our administrators may access them when needed to resolve a dispute.

Support requests

If you contact us through the Support page, we store your name, email, and message so our team can respond.

Browser storage

We use your browser's local storage and similar technology to keep you signed in, remember your interface preferences, and hold your learning state locally so pages load quickly. Clearing this storage signs you out and removes locally held preferences, but progress saved to your account remains.

Technical and security records

We keep basic records such as sign-in activity and account creation dates to keep the service secure and troubleshoot problems. We do not run advertising trackers.

How we use information

Company admins and managers

If you learn under a company account, the people your company designates as owners, admins, or managers can see your training-related information for that account — including your assigned training, completion status, scores, and progress reports. They do not see your personal billing information or your activity outside that company account. Company materials shared inside the account are visible to members of that company as configured by its admins.

Sharing

We share information with service providers that operate parts of the platform on our behalf: Lovable Cloud for hosting, database, and sign-in; Google if you choose Google sign-in; AI model providers, accessed through the Lovable AI gateway, which process the text of your AP Coach questions and related lesson or company material to produce answers; Stripe for payment processing; and email delivery for account emails. These providers act on our instructions and are expected to protect the data they handle.

We may also disclose information if we are required to by law or legal process, if we reasonably believe disclosure is needed to protect the rights, safety, or property of AP Copilot AI, our users, or others, or in connection with a merger, sale, or reorganization of the business.

Your choices

You can review and update your profile information in your account settings. You can ask us to provide a copy of the personal information we hold about you, correct anything that is wrong, or delete your account and the personal information associated with it. You can stop using the service at any time and unsubscribe from non-essential emails.

Some records may need to be kept after a deletion request where we have a legitimate reason or a legal obligation to retain them, such as billing records. To make a request, contact us through our Support page. We will respond as reasonably practicable.

Data retention

We keep account and learning records while your account is active, and for a reasonable time afterward so you can recover an account or so we can meet recordkeeping needs. Company records are kept while the company account is active and for a reasonable time after it closes.

Children

AP Copilot AI is a professional skills platform intended for adults in a workplace or learning-for-work context. It is not designed for children.

Security

We use access controls, protected credentials, and permissions that limit who can read learning and company content. No online service can be guaranteed completely secure, so we ask you to keep your password private and tell us promptly if you believe your account has been used without your permission.

Changes to this policy

We may update this policy as the service changes. When we do, we will revise the effective date shown at the top of this page and, for material changes, make reasonable efforts to notify you.
